How to write an estimate customers trust

  • Split materials and labour, so the customer can see what drives the cost.
  • State your assumptions — for example, “wall area 400 sq ft; existing wiring reusable”.
  • List exclusions, such as civil work, permits or transport.
  • Show GST separately, and say whether the final bill may vary and by roughly how much.
  • Give a validity date; material prices change.

  • An estimate isn't a tax invoice. Once the work is done, issue an invoice for the actual amount.

Frequently asked questions

Is an estimate legally binding?

An estimate is generally understood as an approximate price, not a fixed offer. Make the basis and any allowed variation clear in writing to avoid disputes.

Should an estimate include GST?

Yes, if you're GST-registered and the work is taxable — show it separately so the customer knows the full likely cost.

How is an estimate different from a quotation?

A quotation is a firm price for clearly defined work. An estimate is your best calculation when the final scope or quantities may change.
