How to use the Transport Cost Calculator

  1. Enter the one-way distance and choose one-way or round trip.
  2. Enter the vehicle's mileage (km per litre) and the fuel price.
  3. Add tolls, driver cost per day, trip days and other costs.

Fuel = Total km ÷ Mileage × Fuel price

Total = Fuel + Tolls + Driver cost × Days + Other

Costs this doesn't include

Fuel, tolls and driver pay are the visible trip costs. Vehicle ownership costs — EMI or depreciation, insurance, permits, tyres and maintenance — also add up per km. Include a margin for them when you quote customers.

Worked example

250 km each way, round trip, 5 km/l, diesel ₹90, ₹600 tolls each way, 2 days at ₹800

  1. Fuel = 500 ÷ 5 × 90 = ₹9,000
  2. Tolls = ₹1,200; driver = ₹1,600; other = ₹500

₹12,300 total (₹24.60 per km)

Frequently asked questions

How do I find my truck's real mileage?

Fill the tank, note the odometer, drive normally, refill to full and divide km driven by litres added. Loaded mileage is lower than empty mileage.

Should I charge the customer for the return trip?

If the vehicle returns empty, the return fuel and time are real costs. Either price them in or look for a return load.
